What untracked inventory actually costs

The shop leaks money quietly

Nobody budgets for stock-outs, walked-off tools, and shelf archaeology — but your NOI pays for them anyway.

$50/day
Every vacant day a make-ready waits on a part that should have been on the shelf.
$3,450
One sewer camera that leaves a job site with no record of who had it last.
30 min
A tech hunting for a capacitor that "should be in Bin 14." Twice a week, that's a four-figure line item per year.

The math: the software costs less per year than any one of these problems. One prevented equipment loss or two saved vacancy-days pays for it.

What it does

Two ledgers. One source of truth.

Parts on the shelf and tools in the field — the two things every maintenance supervisor gets asked about and can't answer from memory.

Parts inventory

Know the shelf without walking to it

  • Live counts with one-tap adjust — from the phone in a tech's pocket
  • Reorder levels with loud low-stock flags before the stock-out
  • Stock split across buildings and closets, tracked per location
  • Part photos, brands, suppliers, bin locations, unit pricing
  • Usage history and burn-through charts for smarter ordering
  • Printable bin labels and one-click CSV export
Equipment checkout

Who has it, where it went, when it's due back

  • Check-out / check-in board for every drain machine, dehumidifier, and camera
  • Overdue flags the moment an expected return date slips
  • Full custody log per asset — every checkout, every tech, forever
  • Usage reports by person and equipment type
  • Replacement cost on record for every asset in the cage
Audit trail

Every count change is stamped with who made it. When the number's wrong, you know where to ask — accountability without accusations.

Individual logins

Invitation-only, passwordless sign-in. Techs tap a link in their email — no passwords to forget, no shared accounts to hide behind.

Real-time sync

The count changes on one phone and updates on every screen in the shop instantly. Works offline-tolerant on shop Wi-Fi dead spots.

Built by an operator

It speaks multifamily

This wasn't designed in a software office. It was built inside a working Class A multifamily maintenance shop because nothing off the shelf fit how make-readies actually move.

Generic inventory apps track widgets in a warehouse. Your shop tracks unit turns, tech accountability, and the parts that keep vacancy days off the ledger. That difference is the whole product.

Onboarding

It arrives loaded

You don't get an empty system and homework. You get your shop, already in it — most installs are live inside a week.

STEP 1

Hand over whatever you have

A spreadsheet, a binder, photos of the shelf labels — any format. We transform it and load your parts, equipment, bins, and pricing. Up to 300 parts and 50 assets included in setup.

STEP 2

One walk of the shop

Your team does a single physical count on a pre-formatted sheet we generate from your own data. You own the numbers; we own getting them into the system.

STEP 3

Sign in to a working shop

Your techs get invitation links, a training walkthrough, and a system that already knows every part and tool you own. Day one is useful, not setup.

Straight answers for the vendor-approval meeting

Built like institutions expect

Your own private database

Every client runs on a fully isolated deployment — your data never shares a database, a login system, or even a URL with anyone else's. Data isolation by construction, not by policy.

Change control

Updates roll out deliberately, one client at a time, never during your freeze windows. Version drift is detected automatically and announced — nothing changes under you silently.

Your data stays yours

Full export at any time — CSV for spreadsheets, complete backup files for everything. Leaving is a download, not a negotiation.

No per-seat games

Flat price per shop, unlimited users. Software that tracks accountability should never charge you for giving a tech a login.

Pricing

Flat. Per shop. Unlimited users.

Priced against what it prevents — and less than any one of the problems it solves.

Common questions

Asked in every walkthrough

Do my techs need training?

If they can use a phone, they can use this. Adjusting a count is one tap; checking out equipment is a short form that already knows who's signed in. The training walkthrough is thirty minutes, and most of it is for the supervisor's reporting features.

What happens to our existing spreadsheet?

It becomes the system. Send whatever you track today — Excel, Google Sheets, a binder — and setup includes transforming and loading it. Your team does one physical count to true up the numbers, and you go live with your real shop, not an empty app.

Who can see and change our data?

Only people you invite. Sign-in is invitation-only with passwordless email links, every count change is stamped with the person who made it, and your deployment is fully isolated — your data never shares infrastructure with another client.

What if we leave?

You export everything — CSV for spreadsheets or a complete backup file — at any time, no request needed. Your data is yours on the way in and on the way out.
